Five ways to grow revenue on your Profitroom account
Published 12 June 2024 · 8 min read
Profitroom is a capable booking engine, channel manager and CRM platform, but most properties tap only a fraction of its revenue potential. Below are five moves any Profitroom user can put into action this week to improve occupancy and average daily rate — no rebuild, no procurement cycle, no waiting on IT.
1. Audit your Profitroom rate plan structure
Rate plans in Profitroom tend to accumulate over the years and rarely get rationalised. Sign into your Profitroom account and open the rate plan manager. Count the active plans. If you have more than fifteen on a property with fewer than fifty rooms, chances are you have overlapping, redundant or contradictory rates being exposed to your OTA channels.
Too many rate plans confuse the Profitroom pricing engine and, more importantly, the booking widget itself. Reduce the list to a clean core: BAR (Best Available Rate), Early Booking (14-day, 21-day), Non-Refundable and any genuinely distinct segment plan such as AAA or corporate. Every rate plan should have a clear purpose and a readable price differential. Everything else goes.
Cleaner rate plan structures inside Profitroom correlate with higher conversion on connected booking channels, because the guest is faced with fewer competing offers and can identify the best price more easily.
2. Turn on every relevant channel in the Profitroom channel manager
The built-in Profitroom channel manager includes connections with all major OTAs, but properties routinely leave several available channels switched off. Open your Profitroom account, go to Distribution → Channel Manager, and compare the list of available channels with the ones currently active.
Any channel that could drive even five bookings a month at your property's average ADR is worth switching on if the Profitroom connection is already included in your plan. The marginal cost of one more channel is essentially zero — the integration is maintained by Profitroom.
For channels beyond the standard Profitroom set — niche wellness aggregators, bleisure platforms, sub-GDS channels — the Airbnb & Vrbo Sync Extension from the Profitroomshop marketplace extends your distribution reach without asking Profitroom for a custom connector.
3. Use Profitroom restrictions to shape minimum length of stay
Minimum-stay restrictions are one of the simplest revenue levers Profitroom exposes, yet most hotels leave them at their default (no minimum) all year. In your Profitroom account, open the restriction manager and map your 90-day demand calendar.
For confirmed high-demand dates — local events, school holidays, high-season weekends — apply a two-night minimum-stay restriction in Profitroom. This blocks the short one-nighters that would otherwise displace longer, more profitable stays arriving later. The Profitroom restriction manager supports rules per date, so you can apply the restriction surgically without touching the shoulder periods.
If you want minimum-stay and pricing rules to run automatically, the Advanced Analytics & BI Dashboard from the Profitroomshop marketplace watches live occupancy on your Profitroom account and surfaces the dates where a restriction would protect revenue — no weekly manual review required.
4. Read the Profitroom pickup report every week
The pickup report inside Profitroom shows how many bookings landed on each booking date for each arrival date. It is one of the most valuable reports in the Profitroom analytics suite and it costs nothing extra — it is already part of your subscription.
Open it via Reports → Booking Analysis → Pickup Report inside your Profitroom account. Set the comparison period to the same dates last year. Look for pace deltas: are guests booking earlier or later than last year? Are you ahead or behind on the peak dates?
Pace intelligence is the foundation of any revenue-management strategy. Profitroom's native pickup report delivers it for free, and most properties never look at it. If you need a more granular view — multi-period comparisons, pickup by channel, ADR-weighted pickup — the Advanced Analytics & BI Dashboard extends the built-in reporting with custom dashboards you can share with a general manager or a group revenue committee.
5. Automate post-stay review requests
Review velocity — the rate at which you accumulate new reviews — is a direct ranking factor on Booking.com and TripAdvisor. Properties that systematically request a review after every stay outpace those that rely on spontaneous submissions by a factor of three to five in review volume.
Profitroom supports post-stay email triggers through its built-in email templating system. In your Profitroom account, open Communications → Email Templates → Post-Stay. Create a template that fires 24 hours after check-out and contains a direct link to your two priority review platforms. Keep the ask short and direct — a single-sentence review request outperforms a long multi-paragraph email every time.
For more advanced post-stay automation — win-back campaigns, multi-segment sequences, unsubscribe handling — the Booking Recovery Automation module provides ready-made flows triggered directly by Profitroom reservation status changes.
